Terms and conditions

General

The following terms and conditions are governed by English law, and are subject to the jurisdiction of the English courts. All participants must be at least 18.

I. Confirmation By Client

a. All bookings are held on option until the Contract is signed by the Client and Hotel. If another enquiry for availability is received, the original Client will be informed.

b. Anticipated guest numbers must be advised to the hotel at the time of confirmation and will be identified as the minimum guaranteed number on the Contract,

2. AMENDMENTS-FINAL NUMBERS BY THE CLIENT

a. any amendments to guest numbers aid or arrangements shall he notified in writing to the hotel as soon as possible.

b. Reductions in the duration or contracted value of the booking shall be subject to the Hotels Cancellation Policy.

e, At not less than 14 days prior to arrival the Client shall provide the hotel with up to date numbers of guests. timing., menus and special instructions. At not less than 72 hours prior to arrival the Client shall provide the dinal rooming list (where applicable and/or numbers attending. The invoice shall he calculated this final number or the number actually attending or the minimum guaranteed number, whichever is greater, and subject to Section 3.

3. AMENDMENTS-BY THE HOTEL

Should the Hotel, by any reasons beyond their control need to make any amendments to your booking. We reserve the right to offer an alternative choice of similar suitability.

The Hotel may cancel the booking:

i. if the booking might prejudice the reputation of the Hotel
ii. If the Client is more than 30 days in arrears of previous payments
iii. If the Hotel becomes aware of any alteration in the Client’s financial situation.

4. CANCELATION AND AMENDMENT CHARGES

a. In the unfortunate circumstances that the Client has to cancel or postpone your confirmed booking at any time prior to the event, the Hotel will make every effort to resell the space on your behalf, We do reserve the right to charge a cancellation fee. The Hotels cancellation policy is a maximum of 100% of contracted accommodation and room hire revenue and 100% of contracted food and beverage revenue. dependent upon the length of notice of cancellation given.

b. Any cancellation, postponement or partial cancellation should he advised to the Hotel in the first instance verbally, followed by a written confirmation.

e, Guests with confirmed room reservations who do not stay for all nights booked will he considered as non arrivals and be liable for the applicable room rate

d. Other goods and services- the Client agrees to reimburse the Hotel for any expenditure incurred in respect of the booking including (but without being limited to) any costs, charges or penalties as a result of having to make consequential cancellation of its own arrangements with third parties.

5. DEPOSITS

The Hotel reserves the right to require payment of a deposit to a predetermined level ad details will be specified in the Contract. Should the Client fail to pay such a deposit within 7 days of being required 10 do so, the Hotel may treat the booking as having been cancelled by the Client. In the event that a cancellation fee seeds to be implemented. The deposit is non refundable and will be set against any cancellation fees that may arise.

6. DAMAGE

a. The client will be responsible for any damage caused to the allocated rooms or the furnishings, utensils and equipment therein, by any act, default or neglect of the Client, subcontractor or guests of the Client and shall pay to 1-told on demand the amount required to make good remedy any such damage.

b. We are concerned for your health and safe’ and that of our Hotel. Permission must be obtained from the Hotel if you wish to fix items to walls, floors and ceilings,

7.CORKAGE

No wines, spirits or food may he brought into the Hotel or grounds by customers or guests for consumption on the premises unless the prior consent of the Hotel has been obtained and for which a charge will be made.

8. OUTSIDE SERVICES

Prior consent of the hotel must be sought for any entertainment or services contracted For the function by the Client and any display which most comply with statutory codes and regulations.

9. ETIQUETTE

The hotel reserves the right to judge acceptable levels of noise or behavior of the Client, guests or representatives and the Client most take all steps necessary for corrective action. In the event of failure to comply with management requests, the Hotel reserves the right to terminate the Contract and stop the event without being liable to any refund or compensation.

10. FACILITY CHANGES

The Hotel reserves the right without prior notice to change the Clients assigned Function room for one of equal suitability or make minor amendments to other leisure facility times.

II GENERAL LIABILITY

We do not accept liability For any failure to provide the service contracted due to circumstances beyond our control, including industrial action, postal communications, plant failures, supply of gas, electricity and water or fire alarm evacuation,

12. PAYMENT AND CREDIT

a. All accounts incurred will be invoiced. Payment is due for all credit accounts on presentation of invoice. Any queries should not delay immediate payment of the outstanding balance. No allowance or refund can be made for meals and other elements not taken within the agreed packaged rate. Payment must be made in Pounds Sterling (UK) payable to the Hotel,

b. The Client agrees to pay for any Food and beverage or other service provided For in the Contract or correspondence but made available upon the request of the Client on the day of the event.

c. Credit facilities can only be arranged by obtaining and completing a credit application form, Credit facilities must be agreed at least 14 days prior to arrival. When credit facilities are granted and when payment is not received within the stated terms we reserve the right to charge an appropriate rate of interest 13% above the base rate) or make a collection charge. All such agreed credit accounts must not exceed their credit limit at any time.

13. GROUP RESERVAT5ONS

The person making the booking will be considered the group leader, The group leader has the authority to deal with us on behalf of every member of the group. The group leader is responsible for collecting all monies from the group, and must accept final responsibility For the actions of all other group members and make them aware or all terms and conditions, A bond will be taken From each group member upon arrival at the hotel, which will be returned at the hotel’s discretion once it is satisfied that no damage or inconvenience has been caused by the group. Every person in the party will be held jointly and severally liable for any damage to properly and for any legal cost incurred in defending or pursuing such a claim.

The hotel will not be held liable for any loss or damage to the property of clients except within the constraints of the hotel proprietor’s act 1956, In the case of any loss or damage to property, this must be reported first to the duty manager, and then to the police, immediately.

Any on-site conditions, Instructions or house rules must be adhered to: We have the right to terminate without notice your activity or stay due to any behavior deemed inappropriate by us. In this case, you will not be entitled to any refund. We accept no liability for any misadventure that occurs while any of your group is under the influence of drink or drugs.
If you are participating on a weekend and you are arriving on a Friday night then you must be sober on check-in. If you are not then you will not be refunded. If you return late from a nightclub or pub we expect you to respect the other guests and keep the noise to a minimum. Any abusive behavior to the members of staff, either verbal or physical will tie held as a serious offence and shall be treated as so with the police being celled, All Stags and Hens will be required to give £50.00 per person deposit (or £500. Whichever is greater) on check-in. This will be refunded 24 hours after the rooms have been checked. These conditions will be outlined in the booking room if you are confirming a booking with us, and it will have to be signed. You will not be able to proceed with your booking until it is completed. It is very Important that everyone in the group is aware of these regulations prior to booking or arrival.

 


 

14. Functions
